Description

We are offering an opportunity for an Executive Assistant in Wellington, Florida. The role involves providing administrative support to our team in a fast-paced environment, primarily focusing on data entry and clerical tasks. You will be working within a non-profit industry, where the ability to handle multiple tasks efficiently and accurately is highly valued.

Responsibilities:

• Manage and maintain executive schedules, including scheduling travel and conferences, making appointments, and making changes to appointments

• Oversee the preparation and dissemination of correspondence including letters and emails

• Utilize Raiser's Edge software for various tasks including data management

• Conduct data entry tasks and maintain data accuracy across various databases

• Handle confidential information with discretion

• Provide administrative support for meetings including preparing agendas, taking minutes, and following up on action items

• Utilize Microsoft Office Suites, particularly Microsoft Excel and Microsoft Outlook, for various administrative tasks

• Manage the CRM system effectively, ensuring all customer interactions are logged and followed up on

• Use Concur software for expense management and reporting

• Correspond with stakeholders at all levels, maintaining professionalism and efficiency

• Assist with ad-hoc projects as required by the executive team, demonstrating strong documentation skills.n

Requirements • Proven experience in an Executive Assistant role or similar administrative position

• Proficient in Microsoft Office Suite, including Microsoft Excel and Microsoft Outlook

• Familiarity with CRM systems

• Experience with Concur for expense reporting

• Proficient in About Time for time tracking and project management

• Excellent calendar management skills, including the coordination of complex executive meetings

• Experience assisting with the preparation and editing of correspondence and documentation

• Data entry skills with an emphasis on accuracy and attention to detail

• Experience supporting C-Suite executives

• Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail

• Excellent interpersonal skills and the ability to build relationships with stakeholders, including staff and external partners

• Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer service and response.
