In support of Planned Parenthood of Central and Western New York (PPCWNY)’s mission, thePayroll Coordinatorwill process bi-weekly payroll for PPCWNY employees with a high level of accuracy. In collaboration with the Director of Payroll and Shared Service Projects the Payroll Coordinator will offer a high level of support to internal customers. The Payroll Coordinator will hold responsibility in the areas of compliance, payroll operations and year end payroll tasks.
Essential Functions
Affiliate Payroll Processing
Processes Payroll for PPCWNY’s 200+ employee organization
Reviews payroll records by approving changes in exemptions, checking/savings accounts, pay cards, and earnings/deductions
Audits and processes bi-weekly payroll timely to allow for review and correction of payroll as necessary, reviews electronic time records for completeness and accuracy.
Processes involuntary deductions such as levies and garnishments
Maintains payroll and related records recording the accumulation and use of PTO (Paid Time Off), sick days, and miscellaneous leaves of absence
Prepares reports for benefits including 401(k), collective bargaining/union dues, and adjusts when necessary.
Collaborates and communicates with various department supervisors for any time card corrections, including missing or incorrect punches, missing time or approval of pending PTO requests
Resolves payroll discrepancies by collecting and analyzing information
Provides customer service to employees by answering questions and requests
Supports payroll operations by following policies and procedures; reporting needed changes
Maintains supplemental pay documentation including payroll deduction authorization records for employees
Maintains a strict level confidentiality and protects payroll operations by keeping information confidential in alignment with state and federal regulations
Ensures compliance with federal, state, and local employment laws and regulations, including but not limited to, Fair Labor Standards Act (FLSA), Family and Medical Leave Act (FMLA), and Americans with Disabilities Act (ADA).
In collaboration with the Director of Payroll and Shared Service Projects, maintains strong working knowledge of New York state labor law (and other states as needed), payroll regulations for local, state and federal requirements along with affiliate’s handbook and union contract.
Acts as a liaison between Human Resources and Finance relating to payroll and benefit transactions.
Reconciles and maintains all payroll tax returns and garnishment records.
Performs various year-end payroll tasks
Communicates timely payroll information to staff (i.e. availability of on-line W2’s, updated annual payroll schedule and holidays, payroll deadlines, etc.)
Ensures timely distribution of W-2’s and documents method of distribution
Training
Trains supervisors on payroll processes and payroll system.
Prepares written documentation for training.
Provides coaching and training to managers to ensure accurate time reporting and adherence to union contract.
Identifies areas for continuous improvement and works in collaboration with the Director of Payroll and Shared Service Projects to implement training, practices, and procedures as necessary to maximize efficiency
Other Accountability Activities
Participates in the review of benefits setup as part of the annual open enrollment process
Performs other duties and responsibilities or special projects as assigned or requested

Requirements
Applicants must possess the following qualifications (or equivalent combination of education and experience):
Education—
- GED/High School Diploma required; Associate’s Degree in Accounting or Business Administration, or related field preferred
Experience—
Minimum of 2 years’ of experience with processing or assisting in processing payroll
Paylocity experience strongly preferred
Knowledge, Skills, & Abilities:
Proficiency with Microsoft Office Suite; Teams and Smartsheet experience preferred
Ability to analyze data and perform mathematical calculations
Must have the ability to multi task with a high attention to detail
Able to prioritize competing projects with high efficiency
Must have excellent communication skills (verbal and written)
A high level of discretion and integrity when handling sensitive employee information

Work Schedule This is a full-time, 40 hour a week, position; regular schedule will be Monday – Friday with occasional evenings and weekends.
Benefits & CompensationAt PPCWNY, we are committed to equitable compensation practices and transparency. In alignment with these efforts, the pay for this position ranges from $22.42 to $25.96/hour. Actual compensation will be determined by experience and other factors permitted by law.
