Legal Operations Manager

ADF International is seeking a full-time, highly skilled Legal Operations Manager to join us in our Vienna, Austria (preferred) or London, UK office. As Legal Operations Manager, you are a vital part of the International Team. The Legal Operations Manager is responsible for managing and supporting a full range of projects to maximize the effectiveness of our legal team. The Legal Operations Manager will be responsible for advocacy systems and processes, working closely with the legal, communications and operations teams to ensure the team is operating with maximum efficiency, scalability, and sustainability.

Your Essential Responsibilities:

  1. Legal matter management
  • Responsible for establishing and managing an advocacy calendar, providing a single view connecting global work, including important litigation and legislative dates, providing proactive reporting and updates.

  • Working with the Director of Advocacy to ensure the most important matters receive appropriate resource allocation from across the organisation.

  1. Advocacy tools, processes, and system management
  • Responsible for ensuring advocacy tools, systems, and processes – including our global matter management system and event management processes - meet the needs of the team.

  • Initial and ongoing training of advocacy and other teams on advocacy tools, systems, and processes.

  • Create, train, and reinforce an advocacy process manual to serve as a one-stop shop documenting essential internal processes and business rules for our legal work, including but not limited to client care, case acquisition, initial case screening, contracts, and waivers with local counsel, media consent, filing approvals and legal review.

  1. Reporting
  • Responsible for reporting of international advocacy efforts with the ability to analyze and summarize succinctly both qualitative and quantitative outcomes for varying audiences including internal and external stakeholders.

  • Providing proactive strategic insight to organizational leadership on advocacy caseload, upcoming matters, and milestones.

  1. Intake management
  • Working with the legal team, implement processes to systemize and reliably scale our legal intake process.

  • Oversee and, to the extent it is not delegated, manage the international legal intake processes.

  1. Grants management
  • Working with the legal team, implement processes to systemize our grant process in collaboration with other internal teams.

  • Oversee and, to the extent it is not delegated, manage the international legal intake processes.

  1. Budget
  • Working closely with the operations team, develop and manage the global advocacy budget.
  1. Professional development track
  • Support the Director of Advocacy and Senior Legal team in deploying and managing a professional development track for in-house lawyers.
  1. Advocacy project management
  • Manage advocacy projects as assigned from time to time.

Other Responsibilities:

Skills You Need to Succeed:

Demonstrated proficiency in:

  • Designing and successfully implementing processes, achieving buy-in and overcoming obstacles, to achieve greater efficiency and impact.

  • Microsoft Office including the ability to generate complex reports in Excel, perform simple visual design, and use Outlook with a high degree of proficiency.

  • High level of responsibility and ownership dealing with sensitive topics.

  • Capacity to handle multiple complex matters working with a multi-disciplinary and international team

  • Excellent verbal, written, and interpersonal communication skills.

  • Managing multiple stakeholder relationships and negotiating their sometimes competing demands.

  • Experience using Microsoft Visio, Teams, and SharePoint would be beneficial.

Ability to:

  • Extremely organized and highly process-oriented while still able to build meaningful and enduring professional relationships with peers and other stakeholders.

  • High level of attention to detail.

  • Sensitively handle confidential information.

  • Draft reports, memos, and document processes

  • Quickly learn and adapt to new systems.

  • Fluently speak and write in English.

Education and/or experience:

  • Five years of relevant experience.

  • Bachelor's degree or equivalent.

  • Experience working within a legal or similar environment will be highly beneficial.

  • Project management experience will be highly beneficial.

    Work permit for Austria or EU citizenship required. If you apply for this position from the London office, work permit for UK or UK citizenship required.
