    Job Summary :

    A Nursing Unit Clerk is an essential member of the healthcare team, responsible for managing administrative tasks and providing support to nurses and other medical staff within a nursing unit or department through various clerical responsibilities.

    Main Responsibilities:

  • Assists with preparation of the clinical area for building opening or closing in accordance with Finger Lakes Community Health hours of operation 

  • Attends morning huddle meeting with patient care team to address patient concerns 

  • Inform patients or designated persons of physician orders, changes in care plan, test results, etc. as outlined in NYS clinical scope of practice 

  • Organizes and maintains patient records, including electronic health records (EHR), ensuring accuracy and confidentiality.

  • Scans clinical documents from patients or clinical staff into EHR

  • Chart services in patient record including but not limited to: 

    • Referrals, screenings, lab orders/results, patient history, vitals
  • Organizes and maintains various administrative documents, including patient forms, medical records, and office policies.

  • Address telephone encounters, actions, and referrals in the electronic health record system in accordance with Finger Lakes Community Health policies and procedures  

  • Manages phone calls, emails, and other correspondences, directing inquiries to the appropriate personnel , and providing information to patients as needed.

  • Monitors and replenishing office and medical supplies, ensuring adequate stock levels, and coordinating supply orders.

  • Assists with facilitating referrals to specialists, obtaining prior authorizations for procedures or treatments, and coordinating communication between healthcare providers.

  • Participates in quality assurance activities, such as monitoring compliance with regulations and protocols, and identifying areas for improvement in administrative processes.

  • Reviews patient information during pre-visit planning to ensure appointments are appropriately scheduled and needed information has been received 

  • Assists with monitors patient appointment schedules, ensuring that appointments are properly booked and rescheduled as needed.

  • Other duties as assigned

    Education and Qualifications:

  • High School Diploma or equivalent

  • CPR Certification Required

  • Prior experience a plus, but not required

  • The ability to work flexible hours -- some evenings are required

  • The ability to communicate fluently in Spanish and English preferred, but not required

  • A valid New York State driver’s license in compliance with FLCH drivers’ policy

    Physical Requirements:

  • Must be able to hear and communicate with clients and staff via phone, web media, and in person.

  • Must be able to lift up to 40 lbs

  • Must be able to sit for extended periods of time

  • OSHA Level 1
