The University of Washington Bothell has an exciting opening for a Development Services Officer. This is a full-time, permanent position.

Reporting to the Director of Donor Services & Development Operations, this role is responsible for implementing strategic stewardship experiences for UW Bothell donors and volunteers. Stewardship activities include reporting philanthropic impact, recognizing donor support, managing events and upholding fiscal responsibilities.

As part of the UW Bothell Advancement team, the Development Services Officer will support the mission and values of the University while helping fundraisers and campus leadership cultivate relationships with donors, alumni, volunteers and the greater UW Bothell community. In addition to communicating with supporters, the Development Services Officer works in collaboration with internal audiences including the Office of the Chancellor, faculty and staff in all five UW Bothell schools and administrative divisions, and central University Advancement colleagues. This position also serves as a donor services liaison with the UW Bothell Annual Giving, Alumni Engagement and Special Event teams.

What You Will Do: Stewardship and Gift Acknowledgement (50%)

•Manage the gift acknowledgment process, including drafting letters and emails on behalf of campus leadership and development officers. •Collaborate with fundraisers and annual giving colleagues to anticipate and prepare custom stewardship opportunities for upcoming solicitations and campaigns. •Coordinate the production of student scholarship recipient thank you letters for donors. •Prepare special occasion communications, such as birthday and holiday cards, for supporters and volunteers on behalf of UW Bothell Advancement and campus leadership. •Support the Director of Donor Services and Development Operations in producing high-touch donor stewardship experiences, such as for special events or milestones. •Support the Advancement Writer in preparing donor briefings, proposals, impact reports and other donor facing communications, as needed.

Gift Processing, Gift Reporting, & Data Management (20%)

•Process incoming gifts and pledges in accordance with UW procedures. •Monitor outstanding gift pledges and provide updates on fiscal deadlines to the Advancement Team, as needed. •Manage both regularly scheduled and ad hoc gift reports using Advancement databases and reporting tools. •Maintain and update records in the central donor and alumni database, including donor activities and contact information. •Communicate with academic and administrative leaders regarding gifts in their area. Serve as a point of contact for administrators, deans and finance teams regarding gift budgets and policies.

Events (15%)

•Coordinate with UW Bothell Advancement colleagues and other campus partners to support donor, volunteer and alumni events, particularly those focused on cultivation and stewardship experiences. •Provide fundraisers and Advancement leadership with donor, volunteer and alumni data and reports to support strategic audience development and event invitation lists. •Draft event invitations, manage RSVPs and coordinate guest communications for development events. •File contact reports for event attendees using Advancement database and reporting tools. •Support the Executive Assistant to the Vice Chancellor in planning quarterly Advisory Board meetings. •Collaborate with the UW Bothell Advancement Events team and the Alumni Engagement team to assist with event logistics, including set-up, registration and break-down of events, as needed.

Administrative Support (10%)

•Provide general administrative support for the development team. •Provide calendar support for the Associate Vice Chancellor. •Assist with procurement card reconciliation for the Associate Vice Chancellor.

Other Duties as Assigned (5%)

•Work with the University Advancement Philanthropic Recognition Programs team to coordinate central stewardship efforts. •Serve as a UW Bothell representative at University-wide monthly Stewardship Network meetings. •Supervise a Donor Services student employee who will assist with gift acknowledgements and events.

MINIMUM REQUIREMENTS

Bachelor's degree in communications, business or related field AND two years of experience in advancement/development, fundraising or related fields such as non-profit, event management, marketing/communications, and administrative support.

Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. What You Bring:

•Strong computer skills, including proficiency with relational databases, Microsoft Office, including Dynamics, and digital communication platforms for correspondence, reports and data management. •Knowledge of document management principles and systems. •Demonstrated ability to build and maintain positive relationships with both colleagues and external supporters of UW Bothell. •Excellent written and verbal communication skills. •Sensitivity to the complexity of donor-University relationships, as well as discretion and judgment to balance supporters’ vision and privacy with University obligations and fiscal policy. •Ability to work independently, problem solve, set priorities and handle multiple projects efficiently and effectively. •Knowledge of alumni relations/development/advancement principles, and awareness of how the field is evolving to broaden resource development opportunities and enhance philanthropic access and inclusivity. •Demonstrated commitment and interest in creating and contributing to an inclusive, diverse and equitable workplace.

What You Can Expect:

Cubicle/open workspace environment which may result in higher levels of noise and visual distractions. •Some evening and weekend hours required, as necessary. •Occasional local travel expected.
