Administrative Assistant**In this position- You'll commit yourself to providing full administrative support to Senior level management. Specifically, you'll play a key role in maintaining key contacts and business relationships. You'll make a positive impact on this team and our organization.You will be accountable for:- Setting and maintaining high performance standards for yourself aligned with MEC's Mission to be our client's most valued business partner; holding yourself accountable for achieving results- Assisting multiple Executives and partnering effectively with them to ensure all duties are carried out accurately and efficiently.- Handling daily correspondence including telephone and emails when required; ability to draft correspondence on behalf of the Executives.- Extensive management of multiple calendars with ability to make informed decisions regarding Executive's availability; Keep Executive apprised of calendar, action items, messages and follow up regarding relevant business issues, both internal and external.- Accuracy of travel plans; Car Service, Domestic and international travel coordination.- Organization of meetings - client facing, and internal and across the network, may include special events, agenda creation, logistics and catering.- Thoroughly processing expense reports and following up on the reimbursement process.- Making decisive recommendations as needed regarding appropriate action and follow up. Track and follow up on various action items to ensure schedules and due dates are met.- Creating, modifying/formatting documents electronically including letters, memos, PowerPoint presentations, Excel spreadsheets, and other related documents (may be of a highly confidential/ critical nature).- Researching relevant or industry-specific data using internet, trades, and intranet.- Acting as a "gatekeeper" and handling highly confidential information with discretion.Our Requirements- 3+ years of experience in administrative support role; experience with media, advertising or marketing is a plus but not necessary.- Bachelor's degree preferred; or equivalent professional experience.- Proven ability to work under tight deadlines and handle pressure, while consistently paying attention to accuracy and quality of work- High degrees of initiative, drive, energy, accountability and maturity- High level of personal ownership and confidentiality- Excellent written and verbal communication skills, with the ability to present thoughts clearly, accurately, and succinctly- Superior time management, organization and prioritization skills, having the ability to complete tasks in a complete and timely fashion with high level of attention to detail- Ability to quickly and effectively adapt to change- Receptive to guidance and feedback- Demonstrate genuine curiosity and interest in our clients & their business- Exhibit passion through appropriate participation in team, agency, and industry initiatives- Consistently demonstrate a desire to exceed expectations.- Digitally savvy, MUST be proficient in Outlook calendar application as well as Microsoft Office suite, primarily Word, Excel and PowerPointGroupM and all its affiliates embrace and celebrate diversity, inclusivity, and equal opportunity.?We are committed to building a team that represents a variety of backgrounds, perspectives, and skills.
