Executive Assistant

Aon has an exciting career opportunity for an experienced Executive Assistant in our New York City office. This highly visible role offers diverse responsibilities supporting a senior level executive with opportunity and exposure to interface with Aon leadership. You will be a critical, day-to-day partner to the executive and interact with global internal and external stakeholders

What the day will look like

You will be experienced in handling a wide range of administrative and executive support related tasks, be exceedingly well organized and flexible and enjoy a very fast paced and rapidly changing environment. You must be able to function effectively in a matrixed, corporate environment and take a very proactive and thoughtful approach to tasks and strategy. Your ability to be resourceful will allow you to be successful.

Adapting to change, shifting priorities, and new situations, the Executive Assistant should possess the skills and ability to partner with leaders on confidential matters, communicate effectively and appropriately with internal resources, clients (where applicable), and other parties in a global and virtual working environment.

  • Manage executive’s calendar and emails and create and maintain Distribution Groups

  • Research and book travel arrangements, (domestic and international) and prepare and submit expense reports.

  • Coordinates complex meeting logistics in-person and virtually; may include, but not limited to, budgeting, travel, room reservations, meeting room logistics and materials, and catering (local or international)

  • Research and book travel arrangements and prepare and submit expense reports

  • Schedules, and facilitates meetings, either virtual or in-person, securing room reservations and food ordering/delivery, if necessary

  • Acts as a primary point of contact -takes initiative, leverages network of resources

  • Prepares, produces, and proofreads advanced level presentations and correspondence, graphic presentations, and other documents

  • Maintains OneDrive files, databases, Teams, or SharePoint sites as applicable

  • Coordinates complex meeting logistics in-person and virtually; may include, but not limited to, budgeting, travel, room reservations, meeting room logistics and materials, and catering

  • Acts as liaison between the executive and their colleagues, clients, and other stakeholders

  • Assists with overflow work from other areas of the business; provide backup support to other EAs as necessary

  • Actively participates in leadership meetings for follow ups and note taking when applicable

  • Coordinates projects and works independently

  • The Executive Assistant responds promptly, thoughtfully, and effectively to work requests from senior leaders.

  • Superior writing skills—grammar, punctuation, spelling, and proofreading

  • Maintains a high level of confidentiality

  • Ability to effectively interact with clients and team members, always maintaining professionalism with a positive attitude

  • Self-directed prioritization of work and projects; demonstrates measurable progress through open communication to leaders and team members consistently and with highest quality

  • Advanced level computer literacy in Microsoft Office Suite and other programs as applicable

  • Minimum of 6+ years of relevant executive assistant experience

    Education:

    High School degree or equivalent years of industry experience. Bachelor’s degree a plus.

    The salary range for this position (intended for U.S. applicants) is $100,000 to $120,000 annually. The actual salary will vary based on applicant’s education, experience, skills, and abilities, as well as internal equity and alignment with market data. The salary may also be adjusted based on applicant’s geographic location.
