Professional Rank and Salary Range: SG-13; $51,857

Important Notice for those appointed under NY HELPS:

  • This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS).

  • For the duration of the NY HELPS Program, this title maybe filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply. At this time, agencies may recruit and hire employees by making temporary appointments. In May 2024, if a temporary NY HELPS employee is satisfactorily performing in the position, the appointment will be changed from temporary pending Civil Service Commission Action to permanent non-competitive and the official probationary period will begin.

  • At a future date (within one year of permanent appointment), it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified.

Brief Description of Duties:

SUNY Morrisville is seeking a Program Aide to join our Institutional Advancement team.

The Program Aide will provide administrative support and office management for Institutional Advancement in areas of gift processing, data management, and budget support. They also serve as the first point of contact for alumni, donors, and others who call or visit the office.

Primary Responsibilities include but are not limited to:

  • Processes and acknowledges all gifts using Banner 9. Liaises with the Morrisville Auxiliary Corporation's accountant to code, record and receipt all gifts and pledges.

  • Serves as the entry point for visitors and callers, answering questions when possible and directing inquiries when appropriate. Ensures that all callers and visitors receive excellent customer service whether they are students, alumni, donors, or guests.

  • Tracks Foundation official filings including tax returns, IRS filings, contracts, gift agreements and pledge schedules in adherence with NYS non-profit law.

  • Manages the budget for Institutional Advancement and the president's Foundation accounts, keeping track of revenue, purchase orders, invoices, and other day-to-day business.

  • Reviews all invoices to the Foundation and processes them through the SAGE APA system. Works with the submitting department to ensure all processes and procedures are followed.

  • Coordinates MCF Board activities including meeting management and documents, agendas, and minutes. Supports donor events with invitation lists, invitation management, RSVPs, and event logistics especially those involving dedications, receptions, and major campus events.

  • Assists the Director of Annual Giving and Alumni Relations as the data manager, compiling weekly gift reports, monthly accounting reports, as well as additional data reporting needs for Institutional Advancement.

Requirements:

Non-competitive Minimum Qualifications (NY HELPS appointed):

  • Three years of experience performing clerical, keyboarding, or paraprofessional work in an office environment.

Competitive Minimum Qualifications (non-NY HELPS appointed):

  • Transition: one year of permanent competitive service in a clerical, keyboarding, secretarial, or paraprofessional title allocated to Grade 5 or higher.
