Position

Origami is seeking a full-time Office Coordinator (40 hours per week, Tuesday through Friday). As the key support for our business operations, you'll work under the guidance of our Office Supervisor and closely with our receptionists to ensure the smooth flow of our office. Your responsibilities will encompass a range of critical tasks, from coordinating business systems to processing accounts payable and receivable, all while maintaining a welcoming atmosphere for our clients and visitors. You'll be the vital link between our internal teams and our clients, ensuring a seamless and efficient service experience. Schedule

  • 7am to 6pm, Tuesday through Friday

    Responsibilities

  • Serve as the primary point of contact in the clinic, greeting visitors, answering telephones, addressing and responding to patient portal messages, taking messages, and completing client check in/out for appointments.

  • Monitor common areas including clinic waiting areas and restrooms for cleanliness, organization, and infection control.

  • Ensure a safe and organized work area with all confidential documents always secured.

  • Prompt distribution of business and clinical faxes.

  • Assist with new client admission intakes in conjunction with the receptionist.

  • Collect co-pays/deductibles/and self-pay for services.

  • Serve as the clinic’s assigned emergency personnel.

  • Coordinate and efficiently execute all purchase orders identifying the most cost-effective options and building strong working relations with involved vendors and business partners.

  • Coordinate and reconcile all accounts payable and receivable.

  • Distribute funds and process cash receipts.

  • Complete daily deposits.

  • Process accounts payable weekly.

  • Manage online accounts, retrieve electronic invoices, and manage automatic payment accounts.

  • Ensure reconciliation of accounts payable and accounts receivable is completed by the 10th business day of every month.

  • Reconcile all Origami cash holding systems.

  • Oversee Origami Impress and debit accounts.

  • Provide monthly verification of residential client fund related accounting practices.

  • Create, send, and ensure payments for all invoices for accounts receivable.

  • Monthly reconciliation and bad debt recommendations of accounts receivable.

    Requirements

  • High school diploma, GED, or equivalent.

  • Three years of related experience or transferrable skills.

  • Working knowledge and proficiency with Microsoft Office applications.

    Physical Demands

    While performing the duties of this job, the employee is regularly required to talk and hear. The employee is often required to stand, walk, and sit (use hands to palpate, handle or feel, reach with hands and arms, climb or balance, stoop kneel or crawl, and taste or smell). Accommodated alternatives are acceptable if they accomplish the necessary essential tasks. The employee may occasionally lift and/or move up to 40 lbs. Specific vision abilities required for this position include close vision, distance, peripheral vision, depth perception, and ability to adjust focus.
