Job Description


  • High School diploma or equivalent required

  • Bachelor’s degree in Business Administration, Event Management, Hospitality Management, or relevant field of study preferred

Work Experiences:

  • 3+ years of working experience, preferably with 2 years related experience (event management) years of Event Planning or similar field experience


  • Strong time management skills, ability to support multiple projects, and effectively manage a large volume of work

  • Quickly learns new skills and adapts to an ever changing environment

  • Strategic and analytical, with creative resolution and problem-solving abilities

  • Remains organized, pays strict attention to detail, and meets critical deadlines within a high volume, fast-paced environment

  • Works cross functionally to gain alignment with key stakeholders on complex challenges

  • Self-motivated, with the ability to meet and exceed position requirements under minimal direction and supervision

  • Excellent interpersonal, listening, written, and verbal communication skills, interfacing effectively with individuals at various levels, both internal and external

  • Proficient use of Microsoft Office programs, including Microsoft Word, Excel, PowerPoint


  • Assist with development and execution of Academy events and associated travel

  • Lead logistics planning for smaller events, such as store rallies, and assist in planning logistics for larger events, such as our Store Directors’ Conference.

  • Act as liaison with internal and external stakeholders: provide pre-planning logistics management and event coordination as needed to ensure satisfaction of participants while resolving any problems that may arise (pre planning and onsite support).

  • Negotiate and finalize venue contracts, payments, and other event / travel documents.

  • Create event registration and maintain accurate records of team members’ names, details, and special requests.

  • Create and confirm travel details including rooming lists, ground transportation, event function sheets, etc.

  • Coordinate with the Marketing team to design and produce creative materials and consistently branded communication for events.

  • Coordination of meetings and events ensuring customer satisfaction in a cost effective fashion.

  • Follow event planning process, meeting deadlines, and tracking progress throughout.

  • Create and send accurate pre-event documents to invitees.

  • Using Excel, produce and prepare pricing analyses and reconcile and allocate budget data and billing related to programs.

  • Collect and organize receipts / invoices for record reconciliation.

  • Create and maintain partnerships with stakeholders throughout the organization to meet their needs for events.

  • Build and maintain professional and productive partnerships with vendors.

  • Develop and support meeting best practices information and materials.

  • Learn and adhere to company work hours, policies, procedures, and rules governing professional staff behavior.

  • Responsibilities may change; team member may be required to perform other duties as assigned.

Physical Requirements & Attendance

  • Up to 25% travel, as needed

  • Ability to work flexible hours, including nights, weekends and holidays, if necessary

  • Acceptable level of hearing and vision to perform job duties
