Robert Half Administrative Assistant in Grand Rapids, Michigan

Description We are offering a unique opportunity in the Housing Association industry based in GRAND RAPIDS, Michigan, 49507-2139, United States. The role is an Administrative Assistant position, involving a range of tasks related to the coordination of programs under the Leased Housing Department.

Responsibilities:

• Providing independent operational support to assist in the coordination of programs under the Leased Housing Department.

• Planning, developing, implementing, maintaining, and evaluating programs designed to increase the economic self-sufficiency of program participants.

• Ensuring the Commission’s Program policies and procedures are met in accordance with HUD, federal, local, and other applicable laws, rules, policies, and procedures.

• Ensuring the Commission receives satisfactory ratings concerning HUD agency scoring systems such as Section 8 Management Assessment Program (SEMAP).

• Providing customer service to clients, landlords, agencies, and the general public, answering inquiries regarding policies and practices associated with Housing Choice Voucher and Low-Income Housing Tax Credit, Multi-Family and Moderate Re-habitation programs.

• Initiating and processing Annual and Interim Re-certifications for various programs.

• Coordinating background information checks of families to be recertified and performing final eligibility verifications.

• Scheduling special inspections of units for pre-move and recertification.

• Reviewing lease documents for accuracy and completeness and execution of the HAP.

• Assisting in preparation and distribution of notices of violation of the Statement of Family Responsibilities.

• Collecting, reviewing, evaluating, and verifying documents and information to calculate rent for interim re-certification and move-in.

• Scheduling and conducting interviews with families.

• Ensuring proper verification methods/processing for each re-examination in accordance with HUD and Commission policies and procedures.

• Participating in termination prevention, creating termination prevention plan in conjunction with the Admissions & Leasing Supervisor or HCV Manager.

• Reviewing and discussing non-compliant family(ies) issues with Admissions & Leasing Supervisor or HCV Manager to ensure clients are provided with reasonable opportunity to meet requirements to remain in compliance.

This role offers a short term contract employment opportunity and requires skills in Back Office Support, Filing, Scanning, Data Entry, and Customer Service. Requirements • Proven experience in a similar administrative role within a housing association or related industry

• Proficiency in back office support, including managing schedules, correspondence, and other administrative tasks

• Familiarity with filing systems and procedures, including both digital and physical systems

• Experience with scanning and digitizing documents for storage and retrieval

• Proficiency in data entry tasks, including transcribing, transferring, and inputting information accurately and efficiently

• Strong customer service skills, including the ability to communicate effectively with a diverse range of stakeholders

• Ability to work collaboratively within a team and contribute to a positive, productive work environment

• Strong organizational skills and attention to detail, ensuring tasks are completed accurately and on time

• Proficiency in using standard office software and systems, including word processing, spreadsheet, and database software

• Willingness to undertake ongoing training and development to maintain current skills and knowledge.
