Summary

The City is seeking a dedicated and enthusiastic Part Time Venue Specialist to join our team. The Venue Specialist will be responsible for assisting in the planning, coordination, and execution of banquets and special events at The Coral Gables Country Club. This position requires strong organizational skills, attention to detail, and exceptional customer service to ensure all events run smoothly and successfully.

Job Duties and Responsibilities

The following duties are normal for this position. The omission of specific statements of the duties does not exclude them from the classification if the work is similar, related, or a logical assignment for this classification.

  • Assist in the setup and arrangement of event spaces, including tables, chairs, decorations, and audiovisual equipment, ensuring they are organized and aesthetically pleasing.

  • Conduct tours and walkthroughs of the banquet facilities for potential clients, showcasing the available event spaces and amenities.

  • Provide detailed information and answer any questions regarding the venue's capabilities, services, and pricing.

  • Tailor tours to the specific needs and preferences of clients, highlighting the unique features and offerings of the venue.

  • Coordinate with the sales team to schedule and prepare for client tours, ensuring all areas are clean, presentable, and ready for showcasing.

  • Maintain a positive and welcoming demeanor, actively listening to client needs and providing relevant recommendations and solutions.

  • Follow up with clients to address any further inquiries or concerns.

  • Stay updated on industry trends and changes to provide accurate and up-to-date information to clients.

  • Maintain a clean and organized workspace, ensuring all tour materials and resources are readily available.

  • Coordinate with various vendors, such as kitchen staff, servers, and maintenance, to ensure all event details are communicated and executed effectively.

  • Assist in overseeing the smooth flow of events, addressing any issues or concerns that may arise promptly and professionally.

  • Assist in post event breakdown of event spaces, ensuring they are returned to their original condition.

Qualifications

Associate of Arts (AA) degree or one (1) year hands on experience.

Previous experience in banquets, events, or hospitality is preferred but not required.

Experience with setup, configuration, use, and breakdown of floor plans, furnishings, signage, and other amenities necessary.

Proficient Microsoft Office, Tripleseat, Social Tables, Outlook Email, and Windows Tools & Utilities.

Valid Florida Driver’s License.

A comparable amount of training or experience may be substituted for the minimum qualifications.

PART-TIME (15-24 Hours):

ANNUAL LEAVE: 4 days per year (1 day is equivalent to 4.80 hours). Leave is accrued but not able to use during first 90 days of employment.

SICK LEAVE: 4 days per year. Employees may convert to annual leave 15 hours if more than 2 days have been accrued and unused during the fiscal year.

HOLIDAYS: 11 holidays (If scheduled to work, plus 1 floating day).

BEREAVEMENT: 3 Days for the death of an immediate family member (Parent, spouse, or child) and 2 days for any other immediate family member.

ADMINISTRATIVE SICK LEAVE: Employees who have not used sick leave, leave without pay, or have not lost time due to an on-the-job injury in a 6 month period are entitled to 1 day of administrative leave.

CASH PAY OUT OF VACATION: Employees may request payment of accrued/earned annual leave not to exceed 15 hours at the rate of pay in effect at the time of the request, provided such request is made no later than September 30, 2015 (or as amended every fiscal year).

MILITARY LEAVE: 30 work days every year with pay and the remainder of the period shall be without pay, unless otherwise provided by City Commission.

JURY DUTY: Time off with pay if scheduled to work.

PART-TIME (25 -29 Hours)

ANNUAL LEAVE: 8 days per year (1 day is equivalent to 5.80 hours). Leave is accrued but not able to use during first 90 days of employment.

SICK LEAVE: 8 days per year. Employees may convert to annual leave 30 hours if more than 4 days have been accrued and unused during the fiscal year.

HOLIDAYS: 11 holidays (If scheduled to work, plus 1 floating day).
