Incident Compliance Assistant

JOB SUMMARY

The Incident Compliance Assistant provides support to Quality Assurance & Corporate Compliance department processes and tasks, e.g., incident management, and regulatory compliance functions. They will assist with the processing and reporting of incidents for both 150’s & non 150’s, while providing support to the Incident Review Committee (IRC). They will also contribute to incident trending, and other incident management related tasks and processes and will support regulatory compliance.

ESSENTIAL FUNCTIONS

  • Assists/assumes responsibility for ensuring incidents are reported to OPWDD within the required timeframes and that all other required deadlines, including monthly updates are adhered to

  • Enters required information and follow up into OPWDD’s incident database (IRMA) in a clear and concise manner

  • Document incidents in a clear, concise, organized manner

  • Establishes and maintains appropriate tracking of minor events/incidents, as well as contacts with other provider agencies

  • Communicates incident processes and policies effectively as needed

  • Utilizes audit tools, reports, and other resources to monitor and detect non-compliance with applicable state and federal laws relating to incident management (150’s & non 150’s)

  • Communicates and collaborates with the appropriate team members regarding incidents (150’s & non 150’s), including follow-up regarding issues found during all phases of the incident process

  • Escalates material compliance concerns to Incident Compliance Specialist & Compliance and Incident Manger in a timely manner

  • Collaborates with Care Coordination and Clinical teams to ensure appropriate safeguards are implemented, as needed (150’s & non 150’s)

  • Assists in the implementation, promotion, and training of the Corporate Compliance Program and Quality Management Plan

  • Collaborates continuously and proactively with team members throughout the incident process (150’s & non 150’s) (e.g., Clinical Team, Operations, members of the individual’s treatment team) to gather information, resolve problems, and make recommendations for corrective actions and continuous process improvements

  • Maintains appropriate confidentiality regarding incident information and observations

  • Assists with presenting team member trainings, as well as the development of trainings/training materials regarding the incident management process (and others) as needed

  • Remains generally knowledgeable of other QA/CC department activities to promote a cross-trained team culture

  • Assists/ assumes responsibility with maintaining all tracking data bases related to incidents

  • Assists/assumes responsibility with distributing weekly and ad hoc incident trending summaries

  • Assists/ assumes administrative functions of the Incident Review Committee (IRC), e.g. distributing agenda and minutes, scheduling, distributing required forms, tracking IRC training requirements, documentation redacting, where needed

  • Communicates with the appropriate team members (e.g., Care Coordination and Clinical teams) to obtain any additional information and follow up needed to process and enter incidents into IRMA database and/or internal tracking mechanisms

KNOWLEDGE, SKILLS & ABILITIES

  • Strong knowledge of OPWDD funded services and supports.

  • Knowledge of person-centered planning regulations.

  • Familiarity with Electronic Medical Record systems.

  • Ability to build relationships and effectively communicate.

  • Excellent customer service skills.

  • Strong organizational skills and attention to detail.

  • Excellent writing and word processing skills.

  • Ability to work autonomously.

  • Completes work in a timely manner and ability to prioritize.

  • Demonstrates cultural competence.

  • Ability to keep sensitive and privileged information confidential.

  • Demonstrates ethical and professional responsibilities and boundariesries.

EDUCATION & EXPERIENCE .

  • Bachelor’s degree preferred

  • Associate degreeor an equivalent combination of education, training, and/or related experience required.

  • Minimum 2 years of experience working in a health care or human services setting, required .

  • Minimum 3 years of experience in the Quality Assurance and Corporate Compliance or OPWDD Incident Management areas, preferred
