Program Coordinator (Includes Travel, Concert Design, Website Maintenance, Project Maintenance): Prepares weekly schedules and room reservations for Saturday schedules. Emails weekly update emails to participants. Prepares and coordinates weekly staff meetings with director for teachers; records minutes and sends minutes for meetings. Manages the UT String Project (SP) website materials. Updates website and Facebook page as necessary. Oversees outreach events between UTSP and the surrounding community. Assists the Director in organizing concerts and jury schedules. Facilitates bi-annual retreats and prepares information for new SP teachers. Coordinates probation letters and facilitates communication with parents regarding volunteer opportunities. Organizes registration for new and current participants. Plans and prepares two full staff retreats per year, including guest lecturers.Accounting: Time Sheets/Payroll, and Supply ordering: Manages UT String Project teacher's payroll. Sends bi-weekly emails reminding teachers to submit time sheets and ensures time sheets are correct. Records all UT String Project student's tuition and payments. Contacts parents regarding outstanding balances. Prepares SP teacher contracts. Prepares contracts for visiting guests, including hired accompanists and teacher training. Orders folders, paper, t-shirts, and other supplies as necessary.Outreach Coordinator: Oversees collaborative activities between the area teachers, Butler faculty, Austin musicians and the public schools in the area, including organization of schedules, written correspondence, and phone contacts. Plans and organizes outreach concerts at four different community venues per year, including the library, Bullock, Community First, and the State Capitol.Correspondence: Serves as primary phone and email contact for the UT String Project. Coordinates logistical details related to visiting artists and scholars including travel arrangements, publicity, and management during their visits.
