The Roles and Responsibilities include, but are not limited to, the following:

• Provides general administrative support to VPs and Directors

• Manages calendars, schedules meetings and arranges domestic/international travel

• Prepares, submits, processes and tracks expense reports

• Organizes meetings utilizing video-conference, teleconferencing, and/or WebEx

• Organizes lunches and refreshments for meetings and departmental events

• Coordinates visits from collaborators and consultants

• Handles highly confidential information, agendas, communications, announcements etc.

• Provides document, spreadsheet, presentation preparation or other support as time permits

• Coordinates laboratory notebook allocations and archiving and compliance with Corporate Record Retention Program

• Works in partnership with other department coordinators and admin assistants

• May process contracts, purchase orders and invoices

• Maintains staff lists, org charts and other departmental documents

• Participates in space-planning and on-boarding of new staff

• Arranges team-building and social activities to enhance departmental spirit

• Works independently and uses discretion to determine priority handling

• Acts as departmental representative and point of contact as needed

• Works closely with business partners across GPDO and Celgene in execution of duties



Skills/Knowledge Required:

• H.S. diploma or equivalent required, college degree preferred; Minimum 5 years’ supporting at Executive Director level required

• Relevant experience preferred.5 years’ experience supporting scientific professionals at Executive Director level or above

• Excellent calendar management skills, and coordination of complex meetings

• Strong knowledge of MS Office, including Word, Excel, PowerPoint, and Outlook

• Experience with Celgene business systems (Oracle, Concur) is an advantage

• Excellent interpersonal and organizational skills

• Good analytical, planning and communication skills, both written and verbal

• Demonstrated ability to work well with others within and across functions/teams

• Able to balance priorities, multi-task, and deal with a fluctuating work-load

• Able to adapt behavior to new situations with maturity and composure
