We are looking for an Office Assistant to join our team!

Crane 1 is looking for a master multi-tasker with excellent communication skills and an upbeat attitude. An Office Assistant is invaluable to the contribution of success within our high-volume branch, they keep Crane 1 running smoothly. The ideal Assistant will be hard-working and able to undertake a variety of office support tasks and work diligently under pressure, this person will be comfortable working closely with the management team.

In this role, assisting management, customers, vendors, and visitors is top priority. To be successful in this role, the Office Assistant should be professional, polite, and attentive while also being accurate. The required skills include strong organizational skills, a high degree of attention to detail, discretion, and as well as the incorporation of new and effective ways to achieve better results.

Office Assistant Qualification & Responsibilities

  • Handling office tasks, such as filing, generating reports and presentations, setting up for meetings, and reordering supplies.

  • Providing real-time scheduling support by booking appointments and preventing conflicts.

  • Provide office communications support by fielding calls, answering questions, forwarding messages, confirming customer orders, and keeping customers informed of order status.

  • Filing and maintaining documents both physically and electronically for company records.

  • Aids the office staff in performing their tasks in an efficient, accurate, and timely manner.

  • Coordinates and performs the collection of accounts receivable and past due accounts.

  • Reviews and enters accounts payable.

  • Creating, updating, and maintaining standard work process documentation.

  • Maintain trusting relationships with suppliers, customers, and colleagues.

  • Other duties as assigned.

Office Assistant Skills & Knowledge

  • KNOWLEDGE: Minimum of (3)+ years’ office assistant experience and (2)+ years’ of A/R and A/P experience, or a combination of education and experience that illustrates a proven track record in this field.

  • SOFTWARE: SAGE300 ERP system experience is a plus.

  • SKILLS:

  • Strong written and oral communication.

  • Strong analytical and math skills.

  • Excellent organization.

  • Time management.

  • Ability to multi-task.

  • Strong data entry and computer skills, including MS Office (Excel, Word, PowerPoint) and web-based applications; advanced Excel skills (pivots, macros, etc) are preferred.

  • Experience in job cost accounting is preferred.

  • Experience in the manufacturing, industrial maintenance, and/or repair business preferred.

  • ABILITY: A passion for providing top-notch customer service to our customers. Positive and collaborative approach to teamwork and competition.
