Position Purpose:

Responsible for delivering exceptional administrative duties for the organization with minimal supervision and ensuring assigned areas run effectively. Key areas of responsibility include client and clinician relations, appointment coordination, general billing support, general housekeeping, and office administration while maintaining department and organizational standards.

This position reports directly to the Administrative Manager and will interact on a regular basis with other staff, clients, vendors, and external customers. This position works cooperatively with other organizational staff.

Primary Responsibilities:

  • Support organization’s Mission, Vision, and Values

  • Ability to follow through and focus on everyday tasks and additional responsibilities

  • Effectively communicate status of projects and prioritization of task to managers and direct supervisors

  • Maintain professional boundaries and discretion with clients and staff

  • Abide by Health Insurance Portability and Accountability Act (HIPAA) guidelines associated with client privacy and documentation requests

  • Screen sensitive and confidential items that can be routinely handled and prepare appropriate responses or direct to appropriate party based on clinic protocols

  • Maintain adequate office supplies and materials for the clinics abiding by company purchasing procedures

  • This is an on-site position that includes the ability to: maintain clean and presentable spaces within the clinic, including light housekeeping and stocking

  • Occasional coverage at other clinic locations within the Metro as needed

  • Responsible for creating and maintaining efficient records management, documentation and filing systems that support organizational compliance needs

  • Being punctual for work and meetings

  • Adherence to dress code as outlined in the Employee Handbook

  • Other duties as assigned

Required Qualifications:

  • High School Diploma or GED

  • Advanced Microsoft Office experience – Word, Excel, Outlook - including the ability to open, create, edit, save, and send documents, spreadsheets, and emails, other forms of documents

  • Data Entry experience

  • Must be willing/available to work onsite full time at one of the locations within Minneapolis metropolitan area

Preferred Qualifications:

  • Experience working in a healthcare setting

  • Background in customer service or retail

  • Knowledge of common terminology within the mental health field

  • Experience reading, interpreting and applying/modeling general information from policy and procedure manuals and other compliance related information

  • Experience presenting information and responding to questions from internal and external customers, including staff, managers and clients
