Job Location:Crystal Lake, IL (Corporate Headquarters)

Salary Range:\$20 \$28 per hour(Based on Qualifications and Experience)

Employment Type:(In office Full-Time 40 hours per week)

Overview:Baxter and Woodman, Inc. is seeking a Facilities Coordinator who will play a vital role in supporting the day-to-day operations of our facilities, with a specific focus on fleet management, general maintenance, and repair work. This position requires a self-motivated individual with strong problem-solving skills, a hands-on approach, and a commitment to ensuring the safety and functionality of our facilities and vehicles.

Responsibilities:

  • Assist with finding a vendor or perform routine maintenance tasks, including but not limited to plumbing, electrical, HVAC, and carpentry repairs.
  • Conduct regular inspections of facilities to identify maintenance needs and address issues promptly.
  • Efficiently assist in the setup and teardown of equipment and furniture for various events, meetings, and buildouts.
  • Ensure smooth execution of event logistics by providing timely support in equipment arrangement and breakdown.
  • Collaborate with event organizers to understand specific setup requirements and deliver tailored support accordingly.
  • Maintain a keen eye for detail to ensure all equipment and furniture are properly arranged and in optimal condition.
  • Contribute to creating a seamless event experience by offering reliable and attentive support throughout setup and teardown phases.
  • Respond to facility-related ticket requests in a timely and efficient manner.
  • Assist with the maintenance and repair of company vehicles, including oil changes, tire rotations, and minor repairs.
  • Monitor vehicle usage, fuel consumption, and mileage to identify potential issues and opportunities for optimization.
  • Coordinate vehicle inspections and registrations to ensure compliance with regulatory requirements.
  • Maintain accurate records of vehicle maintenance and repairs.
  • Utilize general maintenance and repair skills to address a variety of repair and maintenance tasks throughout the facilities.
  • Troubleshoot and resolve issues related to plumbing, electrical systems, lighting, and general building maintenance.
  • Perform minor renovations and improvements as needed, such as painting, patching, and drywall repair.
  • Assist with the installation and assembly of equipment, furniture, and fixtures.
  • Provide administrative support to the Facilities Director, including record-keeping, inventory management, and scheduling.
  • Assist with procurement processes for facility and fleet-related supplies and services.
  • Help maintain accurate records of facility and fleet-related activities, expenditures, and contracts.
  • Ensure compliance with health, safety, and environmental regulations in both facilities and fleet operations.
  • Conduct regular safety inspections of vehicles and facilities, identifying and addressing potential hazards.
  • Collaborate with the Facilities Director to develop and implement training programs on safety protocols and emergency procedures.
  • Assist with evaluating vendor performance and negotiating service contracts to ensure quality and cost-effectiveness.
  • Monitor service levels and address any issues or concerns in a timely manner.
  • Cultivate positive relationships with vendors to foster a collaborative working environment.

Qualifications:

  • High school diploma or equivalent; technical or vocational training in facilities maintenance or a related field preferred.
  • Prior experience (5+ years) in facilities maintenance, fleet management, or general maintenance and repair work.
  • Proficiency in MS Office Suite specifically Teams, Outlook, Word, PowerPoint, and Excel.
  • Strong organizational skills, with the ability to multi-task and prioritize effectively.
  • Strong knowledge of basic maintenance techniques and repair procedures.
  • Hands-on experience with tools and equipment commonly used in facilities maintenance and vehicle repair.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Excellent problem-solving skills and attention to detail.
  • Effective communication and interpersonal abilities.
  • Valid drivers license with a clean driving record.
  • Travel between offices when necessary, with personal vehicle.
